Business Central is a capable ERP for small and medium-sized companies — but 'simple' is not the same as 'cheap' or 'fast'. Here is what you should focus on before choosing a product and partner.

When is it a bad fit?

Scenarios where this product is the wrong tool — or the wrong time.

  • Highly complex manufacturing, advanced WMS or global group accounting — F&SCM is often the right tool instead.
  • Companies that want minimal change and just want to replace a working system 'because it's old'.
  • Industries with highly industry-specific requirements (process, pharmaceuticals, defence) without factoring in a certified industry app on top.
  • Businesses where integration with 10+ specialist systems is the core value proposition — in those cases, the total cost is often higher than a broader ERP.

What gets underestimated?

Areas that routinely become larger and more expensive than expected.

  • Data migration from the legacy system — the quality of items, customers, suppliers and balances determines the entire implementation.
  • The amount of customisations (extensions) required to cover your actual processes, and what they cost to maintain during upgrades.

  • Licence (Essentials/Premium) per user/month — but implementation is typically 3–10x the annual licence in the first year.
  • Industry app, integrations, potential EDI, e-commerce connection and reporting platform.
  • Internal time: key personnel need to be relieved by 20–50% during the project; this is rarely visible in the proposal.
  • Post-go-live application management: at least one partner day/month for upgrades, minor changes and support — expect 15–25% of the implementation cost annually.

What should the partner prove?

Requirements to place on the partner before you sign.

  • References from companies of your size and industry that have been live for at least one financial year-end — not 'went live last month'.
  • Concrete implementation methodology: how do they handle design, testing, data migration, cutover and hypercare?
  • The names of the people who will actually deliver — not just sales reps and account managers.
  • How they handle upgrades (BC is SaaS) and how their customers managed the last two release waves.
