Dynamics 365 Customer Insights

Customer Insights — Journeys & Data. Two modules that work together. Choose your partner carefully.

Microsoft delivers the platform and the AI segmentation. Your partner builds the data model, the integrations and the scoring rules that actually decide whether leads receive the right email at the right time. That is where marketing-automation projects are won or lost. Here you compare partners who have actually delivered these flows for organisations like yours.

What is Dynamics 365 Customer Insights

Dynamics 365 Customer Insights is Microsoft's modern marketing and customer-data platform. It consists of two tightly integrated parts that together cover both the data side and the activation side of modern marketing.

Customer Insights — Data is a powerful Customer Data Platform (CDP) that gathers and unifies customer data from CRM, ERP, web, e-commerce, loyalty programmes and third-party sources into a single, AI-enriched customer profile with segments, lifetime value and next-best action.

Customer Insights — Journeys is a marketing automation engine that orchestrates personalised customer journeys in real time across email, SMS, push, Teams, web and ad channels.

The platform serves both B2B and B2C organisations that want to move from scattered send-outs and gut feel to data-driven marketing where the right message reaches the right person in the right channel at the right moment.

Built-in Copilot and autonomous marketing agents let marketers describe a segment or a campaign in plain language and get finished audiences, subject lines, content and journeys generated in seconds — instead of spending days on manual segmentation and drafts.

Through deep integration with Dynamics 365 Sales, Customer Service, Dataverse, Fabric and Microsoft 365, sales, marketing and service share one customer view. But the data model, source systems and integrations set up by your partner are what actually decide whether the platform becomes a true growth engine or just another tool.

Does this sound familiar?

Situations where Nordic companies typically start evaluating Customer Insights.

  • We have customer data scattered across ERP, CRM, e-commerce and support — no one knows what is true.
  • We want to run segmented campaigns based on actual behaviour, not guesswork.
  • We need journey flows across email, SMS and in-app without using multiple tools.
  • We want to measure marketing ROI all the way from lead to deal.
  • We need to move from the old Dynamics 365 Marketing to Customer Insights.

What Microsoft Dynamics 365 solves

Plainly — without Microsoft marketing speak.

  • Customer Insights – Data (CDP) consolidates customer data from multiple sources into a single customer profile.
  • Customer Insights – Journeys (formerly Marketing) handles campaigns, journeys and triggers across channels.
  • AI segmentation and churn prediction directly on consolidated data.
  • Tight integration with Sales and Customer Service — the same view of the customer throughout the flow.
  • Priced on contact volume/profile volume rather than per user.

Where the partner makes the difference

Microsoft delivers the platform. The partner decides whether the implementation actually works in your organisation.

Process design

Which journeys, which triggers, what sales qualification — the design determines whether the platform delivers business value or simply sends out more emails.

Integrations

Web, e-commerce, transaction systems, ERP and support must feed the CDP with correct data — without it, the segments become useless.

Data model

Entity model, unified profile rules and consent management are complex and GDPR-sensitive.

Reporting

Attribution, campaign ROI and pipeline contribution require data to be correctly connected right from the start.

Change management

Marketing, sales and e-commerce teams need to agree on definitions and processes — the partner must lead this work.

Industry knowledge

B2B, B2C, retail, subscription and membership organisations have completely different needs for journeys and segmentation.

Common pitfalls

What we most often see in evaluations that don't land well.

  • Buying Customer Insights – Journeys without first having the right data in Customer Insights – Data.
  • Underestimating the work required for GDPR, consent and data structure.
  • Miscalculating licence costs because pricing is based on contact volume.
  • Choosing a partner with strong Sales experience but thin marketing/CDP expertise.

Recommended next step

Three concrete steps that sharpen your decision basis before the partner dialogue begins.

1. Run a needs analysis

Pin down what you actually need — before you compare products.

Start a needs analysis

2. Create a requirements spec

Make quotes and partner proposals comparable on the right basis.

3. Find the right partner

Start from your industry and your processes — not from which partner is most visible.

Frequently asked questions about Customer Insights

Dynamics 365 Customer Insights is the next-generation marketing platform that replaces and extends the previous Dynamics 365 Marketing. It combines marketing automation with advanced customer-data analytics and AI-driven insights to give a complete view of the customer journey.

Customer journeys in Customer Insights are visual flows that define how and when you communicate with customers based on their behaviour and attributes. You can create triggers that start the journey (for example a web form), define conditions and branches, and automatically send email, SMS or push notifications at the right moment.

Yes. Customer Insights has native integration with Dynamics 365 Sales. Leads generated through marketing campaigns can flow automatically to the sales team with full history and scoring. Sales reps can see the entire customer journey and every marketing interaction directly in the Sales app.

The Customer Insights licence is based on contact volume rather than users. The base licence gives access to all features for a given number of contacts. The "Attach" licence is available for customers who already have at least 10 Dynamics 365 user licences and is offered at a reduced price.

On the buyer's side

Buyer's manual

Customer Insights (Journeys + Data) is Microsoft's marketing platform. It is powerful — but requires a marketing organisation that understands segments, campaigns and data quality, otherwise it becomes an expensive email engine.

When is it a bad fit?

Scenarios where this product is the wrong tool — or the wrong time.

  • Smaller B2B companies with few campaigns per year — Mailchimp/HubSpot Starter is often sufficient.
  • Companies without a dedicated marketing function that can own segments, journeys and content.
  • Businesses where the sales team is not interested in lead scoring or MQL/SQL handover.
  • Companies without a clear data strategy — Customer Insights Data requires source systems and data quality to deliver.

What gets underestimated?

Areas that routinely become larger and more expensive than expected.

  • The data model in Customer Insights Data — unifying customer data from CRM, ERP, web and e-commerce is a project in its own right.
  • Segment, campaign and content design — the tool will not do the marketing for you.
  • GDPR, consents and preference management — must be designed in from the start.
  • Integration with the sales team (Dynamics 365 Sales) and reporting on pipeline contribution.

What does it really cost?

The total cost — beyond the list price in the brochure.

  • Licence (Customer Insights Journeys + potentially Data) — priced on contacts and interactions, can spiral with high volumes.
  • Implementation: SEK 200,000–1.5 million depending on source systems and campaign complexity.
  • Content, template and campaign production, which is often a larger cost than the platform itself.
  • Management and continuous optimisation — A/B testing, segment tuning, data quality.

What should the partner prove?

Requirements to place on the partner before you sign.

  • Marketing references — not just CRM implementations. Ask for examples of live campaigns.
  • Experience with Customer Insights Data if you want to build a CDP — that is a completely distinct skill set.
  • Concrete proposal for lead scoring, MQL definition and handover to sales.
  • Plan for GDPR, consent management and reporting on business contribution.

On the buyer's side

What does it really cost?

Customer Insights – Journeys (formerly known as Marketing) is priced per tenant (~SEK 16,250/month for unlimited users), or as an add-on (~SEK 9,560/month) if you already have at least 10 Dynamics 365 licences. Implementation is driven by how many journeys, segments and integrations you require.

Implementation ranges

S

Standard email campaigns, simple segments, integration with CRM, simple landing page.

One-time cost
SEK 250,000 – 600,000
Project duration
6–12 weeks
M

Medium — multiple journeys and channels

Triggered customer journeys, lead scoring, event management, integration with CMS and web analytics.

One-time cost
SEK 600,000 – 1,200,000
Project duration
10–18 weeks
L

Large — multi-brand, multi-market

Advanced personalisation, Customer Insights – Data, AI segments, content ops at scale.

One-time cost
SEK 1,200,000 – 3,000,000
Project duration
18–28 weeks

Common cost drivers

These push you above or below the range above.

  • Number of brands, markets, and languages
  • Number of customer journeys and triggers
  • How many data sources to consolidate in Customer Insights – Data
  • Integrations with CMS, web analytics, ad platforms, transactional email
  • Compliance: GDPR, consents, preference centre
  • Content production and templates (easy to underestimate)

Ongoing costs after go-live

Rarely shown in the quote — but this is where total cost grows.

  • Management of customer journeys and segments when offerings change
  • Further development of personalisation and AI segments
  • Management of integrations with CMS and ad platforms
  • Copilot for content suggestions and journeys

The ranges represent typical partner projects in the Swedish market. A complex industry, numerous integrations, or poor data quality will push a project above the upper limit — and vice versa.
